Buy it managed, or build it yourself?

Two ways to put AI on your phones: a platform you configure and maintain, or a service that hands you the finished result. Here is the honest difference.

There are two ways to put AI on your phone lines. The first is a platform you sign up to, configure, integrate and maintain yourself. The second is a managed service that hands you the finished result. They get sold as the same thing, "an AI receptionist", but they are very different purchases, and picking the wrong one wastes either your money or your time.

Here is the honest difference, and how to tell which fits your business.

The two routes

Build-it-yourself platforms such as Vapi, Synthflow and Retell give you the building blocks. You write the prompts, connect the phone number, wire up your booking system, choose and pay separately for the voice and the language model, test it, and keep it running. Powerful and flexible if you have a technical person and the time. The advertised per-minute rate is only the platform fee. The real cost lands higher once you add the voice, the model and the phone line, as our cost guide breaks down.

A managed service like Apex AI is the opposite trade. We build the agent for you, configure it around your trade, integrate it into the booking system you already use, test it on real calls before it goes live, and keep optimising it as you go. You get the outcome, not a toolkit. One UK point of contact, one predictable bill.

Where building it yourself genuinely wins

To be fair to the platforms, there are businesses they suit better than we do. If you have an in-house developer or an ops person who wants full control, enjoys building, and has time to maintain it, a platform like Vapi or Retell is an excellent choice. You get maximum flexibility and the lowest headline rate, and you own every part of it.

The catch is that the build, the integrations, the testing and the upkeep are all yours, forever. For a clinic, a garage or a trades business without a technical team, that time is the expensive part, and it is the part a managed service removes.

What you are really paying for with managed

A finished build

We configure the agent end to end, so you are not staring at a blank prompt box wondering where to start.

Tested before go-live

We run real call scenarios and fix the rough edges before a single customer hears it.

Ongoing optimisation

We watch how it performs and keep improving it, rather than leaving you to debug transcripts.

One UK contact

A person to call when you want a change, not a community forum and a ticket queue.

FAQ   Common questions

Questions, answered.

What is the difference between a managed AI receptionist and a platform like Vapi or Synthflow?+
A platform gives you the tools to build and run a voice agent yourself: you write the prompts, connect the telephony, integrate your booking system and maintain it. A managed service like Apex AI does all of that for you and keeps optimising it, so you get the finished outcome rather than a toolkit.
Is a managed AI receptionist more expensive than a DIY platform?+
The headline per-minute rate on a DIY platform looks cheaper, but it only covers the platform fee. Once you add the voice, the language model, the telephony and your own time to build and maintain it, the gap narrows or disappears. A managed service rolls all of that into one predictable fee.
Do I need a developer to use an AI receptionist?+
Not with a managed service. With a self-serve platform you usually need someone technical to build the agent, wire up integrations and keep it running. Apex AI handles the technical side so you do not need a developer at all.
How quickly can a managed AI receptionist go live?+
Usually within days. Most of the work is a short onboarding to capture your common calls, prices and booking rules, after which we build, test and launch it for you.
Can a managed service integrate with my existing booking system?+
Yes. Integrating into the diary or practice management software you already use is a core part of the managed setup, so bookings land in your real system automatically.
More leads. Better clients. Less chaos.
